Privacy Policy

This Privacy Policy explains how Mosaic Knowledge Syndicate, LLC (“Mosaic,” “we,” “us,” or “our”) handles information in connection with the website at mosaicsyndicate.com and the related application and features (the “Services”). It is part of, and incorporated into, our Terms of Service.

1. Two kinds of information

It helps to keep two categories separate:

  • Information about you, the account holder. The data you give us to create and use an account, plus technical data collected as you use the Services.
  • Public Records Data. Information about third parties — such as decedents, property owners, and heirs — that we aggregate from public records and present in the Services. This data is drawn from public sources, not collected from those individuals, and is covered in Section 6.

2. Information we collect about you

  • Account information: your first and last name, email address, and password. Passwords are stored only as a salted hash; we never store your password in readable form.
  • Survey responses: answers you provide in the pre-launch surveys used to grant access tiers.
  • Usage and device data: log data such as your IP address, browser type, pages requested, and timestamps, used to operate and secure the Services.
  • Cookies: a session cookie that keeps you signed in. We do not use third-party advertising or cross-site tracking cookies.

3. How we use your information

  • to create your account, authenticate you, and provide the Services;
  • to send transactional email — account verification and password-reset messages;
  • to determine and apply your access tier;
  • to operate, secure, debug, and improve the Services;
  • to detect and prevent fraud, abuse, and automated signups; and
  • to comply with legal obligations and enforce our Terms.

We do not sell your personal information, and we do not use your account information or survey responses for third-party advertising.

4. Service providers we share with

We share the minimum information necessary with vendors that process data on our behalf under contract. These include:

  • Cloud hosting and database providers that store and serve the application;
  • Transactional email provider that delivers your verification and password-reset messages;
  • Security and bot-mitigation provider that helps us distinguish humans from automated signups; and
  • Payment processing — if we offer paid plans, a third-party payment processor handles your payment. We do not store full payment-card numbers.

We may also disclose information when required by law, to respond to valid legal process, to protect our rights or the safety of others, or in connection with a merger, acquisition, or sale of assets.

5. Cookies and tracking

We use a single first-party session cookie so the Services can keep you signed in. We do not run third-party advertising networks or cross-site trackers. Blocking the session cookie will prevent you from staying signed in.

6. Public Records Data

The Services aggregate and present information drawn from publicly available sources, including Missouri court filings, county assessor and parcel databases, publicly published obituaries, and licensed third-party providers of public-records and skip-trace data. This information may include names, addresses, parcel identifiers, and contact details of individuals who are not Mosaic account holders.

Because this data originates in public records, it is presented as found and is not collected from the individuals it describes. Public records may contain errors or be out of date; the data is provided as a research aid and must be independently verified before it is acted on. Mosaic does not control the underlying public sources.

If you appear in Public Records Data shown in the Services and want to make a correction or suppression request, contact us at the address in Section 11. We will review reasonable requests; because the records originate with government and other public sources, a correction at the source of record may also be necessary.

7. Data retention

We retain your account information for as long as your account is active and as needed to provide the Services. We retain survey responses and log data for as long as reasonably necessary for the purposes described in this policy or as required by law. You may ask us to delete your account, subject to records we must keep to meet legal obligations.

8. Security

We use reasonable administrative and technical safeguards — including encrypted transport, hashed passwords, and access controls — to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your choices and rights

You can review and update your account information, or ask us to delete your account, by contacting us at the address in Section 11. Depending on where you live, you may have rights to access, correct, delete, or restrict the processing of your personal information, and to be free from discrimination for exercising those rights. California residents may exercise rights under the California Consumer Privacy Act as amended; we do not sell or share personal information as those terms are defined there.

10. Children and geographic scope

The Services are intended for business users in the United States and are not directed to children under eighteen (18). We do not knowingly collect personal information from children. The Services are not offered to, or intended for, individuals in the European Economic Area or the United Kingdom.

12. Changes to this policy

We may update this policy by posting a revised version on the Site and updating the “Last updated” date. Material changes will be brought to your attention through reasonable means. Your continued use of the Services after the effective date of a change constitutes acceptance of the revised policy.
